Program Specialist

Temporary up to 6-months

 

PURPOSE: To provide a variety of moderately difficult administrative tasks in support of the administrative operations with research participation programs sponsored by the Department of Defense (DoD) and other approved agencies.

 

ESSENTIAL JOB FUNCTIONS:

 

  • Coordinates and performs administrative support activities for a major program or program segment. Establishes priorities and schedules tasks and activities based on program objectives and milestones. Provides on-site administrative support to managers, by scheduling meetings, registering for conferences/seminars and coordinating travel arrangements.

 

  • Interacts with participants, reviewers, laboratory coordinators, and program sponsors on-site at APG, and at various DoD installations world-wide to gather and supply information necessary to complete a wide variety of administrative tasks. Provides assistance and responds to inquiries from program sponsors, the public, university faculty, and program participants.

 

  • Provide administrative assistance to and program managers. Types, formats, prepares, edits and proofreads correspondence, program literature and reports using personal computer and word processing, graphic, and spreadsheet software.

 

OTHER JOB FUNCTIONS:

 

  • Administers details associated with application processing. Oversees promotional mailings, website postings, and various social media forums. Process applications to include screening for eligibility and completeness. Prepares coding, data entry and verification of applicant information. Assists Project Manager/Recruiter in forwarding applicant files for review by sponsor and/or review panels.

 

  • Maintains record files and databases.

 

REQUIREMENTS:

JOB QUALIFICATIONS: High School diploma or equivalent with two -- four years job related experience. Administrative background in working with DOD is preferred. Must be able to deal effectively and tactfully with a variety of people at various academic levels. Must have excellent verbal and written communication, organizational, grammatical, and proofreading skills. Must be proficient in word processing and have experience in working with computer database applications. Must be self-directed and capable of processing and prioritizing multiple tasks, and handling a large and varied workload with minimum supervision. Must demonstrate problem solving skills.
